Event Meal Sponsorship Terms & Conditions
These Event Meal Sponsorship Terms and Conditions (together with the Sponsorship Order (as hereinafter defined), the “Agreement”), is by and between National High School Strength Coaches Association. (“Organizer”), and the Person (as defined below) set forth on the Sponsorship Order (“Sponsor”). As used herein, “Sponsorship Request” shall mean that certain sponsorship request in this linked form submitted to Organizer and executed by Sponsor pursuant to which Sponsor shall sponsor the Event Meal (as hereinafter defined).
1. SPONSORSHIP ACCEPTANCE
All sponsorship slots are available on a first-come, first-served basis. Organizer has the absolute right to limit the number of total sponsors and to select sponsors at its sole discretion. Acceptance of a sponsorship request by Organizer is based upon slot availability at the time of receipt of the completed website registration process. Sponsors have no right or authority to make any determinations with respect to the conduct, participants, presenters, display, performance, content, setup, design, quantity, or any aspect of the conference.
2. OBLIGATIONS OF SPONSOR
Sponsor agrees to pay for the cost of meal(s) submitted in the Sponsorship Request. Meal costs will be based on a rate per meal or item(s) multiplied by attendance of event. Event Organizer agrees to communicate with Sponsor the best meal values prior to securing the order for a sponsored food or meal. See Cost and Trends.
3. COST AND TRENDS
To allow Sponsors to budget for an event, we’ve included some costs and attendance averages below:
a. Breakfast is frequently between $5-$10 per person depending on what is ordered.
b. Lunch is commonly be $10-$15 per person.
c. The average attendances at State Clinics ranges between 20-50 depending on location.
4. OBLIGATIONS OF ORGANIZER
Event Organizer is solely responsible for scheduling meal delivery to event location. The Organizer shall provide the benefits as listed:
a. Sponsor’s name hyperlinked on Events Calendar page under Event Schedule.
b. Sponsorship recognition at the Events to include:
c. Announcement from Event Organizer recognizing the Sponsor of the meal.
d. Table tents on serving line and tables with sponsor’s name, logo and CTA (ex, QR code). NOTE: Table tents must be provided by Sponsor.
e. 5-minute Sponsor presentation to attendees during meal.
5. PAYMENT
Event Organizer will issue the Sponsor fee to be paid directly to food vendor.
6. CANCELLATIONS
There will be no refunds issued for cancellations after Sponsorship Request has been submitted via the Submit button.
7. RIGHT OF FIRST REFUSAL
Organizer intends to host future events and provide additional opportunities for sponsorship. The parties acknowledge and agree that Organizer is under no obligation to host any future events. In recognition of the Sponsor’s support of the event, Organizer agrees that with respect to the event sponsored by Organizer in the following year, Organizer grants sponsor the right of first refusal over all other potential Sponsors for the same sponsorship of the same event, in the subsequent year.
8. INDEMNIFICATION
Sponsor hereby agrees to indemnify, defend, reimburse, and hold harmless Organizer and its respective officers, directors, employees, volunteers, and representatives against any and all claims, loss, damage, or expense (including attorneys’ fees) that may arise in connection with or be asserted against, resulting from, imposed upon, incurred, or suffered as a result of sponsor’s participation in the conference.
9. NOTICES OF TERMS AND CONDITIONS
Organizer shall have discretion in the interpretation and enforcement of the terms and conditions in this contract and all aspects of the conference, and the power to make, from time to time, such reasonable amendments thereto and to establish such further terms and conditions as it shall consider necessary for the proper conduct of the conference, including the sponsorship opportunity, provided such new terms and conditions do not materially alter or diminish the contractual rights of sponsorship. All matters, issues, or questions not covered by the Terms and Conditions are subject to the sole discretion of Organizer.
